Introduction to UNE: a one hour session hosted by Organisational Development

Who should attend?

All new employees should attend an 'Introduction to UNE' session as soon as possible after commencing, ideally on their first day.
Supervisors or other staff member as appropriate are welcome to attend the session with the new staff member.

When are they held?

These sessions are held every Monday from 11am to 12.30 noon.

Venue

In the OD Training Room, Top Floor, Lamble Building.

How to book your place

Bookings can be made up to 10.30am on Monday morning by contacting induction@une.edu.au .

What will we cover?

The program aims to introduce new staff to the University environment. Topics covered include:

  • Overview of UNE (including what makes UNE special, history and organisational structure)
  • What to do first (including information about signing on, obtaining identity cards and setting up email accounts)
  • UNE's central databases (including information about gaining access)
  • In the Know (overview of key policies and procedures)
  • Brief Look at UNE and Human Resource Services web page (including where to find policies and forms)
  • Date for the next Welcome to New Staff

Participants are also provided with an information kit containing UNE Strategic Plan, campus map, brochure about Armidale, Sport UNE plus much more.

Staff Induction - why is it important?

Induction is a process by which a new staff member learns about and becomes part of the University of New England. An effective process will ensure that the staff member is introduced to the University in a positive way, made to feel welcome and provided with support, guidance and access to information about the organisation and the requirements of the position, work area and wider University (including legal requirements).

Induction is both a central responsibility and the responsibility of the faculty/school/directorate/work unit/college in which the new staff member is appointed. The process begins before the first day of employment and continues in various forms throughout the first year of employment. Human Resources Services supports staff induction and can assist supervisors in developing induction plans, in some cases for individual positions.

Supervisor's Role in the Induction Process

As a supervisor you play a critical role in ensuring that new staff are appropriately inducted into the University. Generally speaking, as the new staff member's supervisor you are responsible for overseeing the induction process. This includes making the necessary arrangements prior to the staff member's commencement of employment, organising the workplace induction and encouraging staff to attend centrally organised induction activities, assigning a mentor or support person if appropriate, and making opportunities to review the new staff member's progress, answer questions and provide regular feedback and encouragement.

Depending on the particular circumstances of the new staff member and the position they have been employed into you may also incorporate one or more of the following into the induction process:

  • Meet and greet incoming staff member on arrival in Armidale (especially for staff arriving by plane)
  • Organise accommodation in a motel (or similar) on the first night for the staff member and his/her family
  • Organise accommodation at one of the residential colleges for the first week or two
  • Organise a Basket of Basics for the incoming staff member and his/her family and make it available for them for their first night in Armidale. Include breakfast cereals, tea/coffee, milk etc
  • Send a parking permit to the new staff member so that they can park on the first day without parking worries
  • Make arrangements for a hire car for the new staff member for his/her first few days
  • Send information to the incoming staff member to assist them in finding accommodation prior to their arrival. This would include the names and address of Real Estate Agents.

A new staff member's view of the University and their immediate workplace is strongly influenced by the impressions formed during the first week, and in particular by those of the first day. A well thought-out workplace induction can help ensure that these impressions are positive and that the staff member is able to settle quickly into his or her new job. It is important to take this opportunity to make the new staff member feel welcome and show the valued role he or she is to play within your school.

Generally it is useful to pace the induction activities so that the staff member is not overwhelmed on the first day. By the end of the first month the staff member will need to have received most of the necessary information and support.

Induction Checklist

A Supervisor's Induction Checklist has been designed to assist supervisors with this process. It is available as a word document which can be downloaded, adapted and modified to the needs of your particular workplace. The completed checklist should be retained by the Supervisor. Mentor or Support Person

Supervisors are encouraged to organise an appropriate staff member from the work area to mentor or support the new staff member. The role of the mentor or support person would be to provide friendship and guidance in order to help the new staff member overcome the challenges of a new work environment.
